If you are filling out an application for a Masters project or Internship with us, we will record your responses using JotForm. This is a hosted service provided from secure data centres within the EU.

Under the terms of data protection legislation, the University of Cambridge will be the data controller for this data, and JotForm will be acting as a data processor on their behalf.

Your data will be accessible to the members of staff at the MRC Cognition and Brain Sciences Unit (MRC-CBU) who will be evaluating applications for the purpose of deciding whether to offer you a place on the Masters and/or Internship project scheme. It will also be accessible to members of the University Information Services (UIS) and by members of staff at JotForm who have the appropriate permissions.

JotForm itself will only collect data for the purposes of providing the service, or administering the systems that host the service (for example, monitoring and analysing traffic, analysing and resolving technical problems, monitoring misuse, and so on).  Further information on the data captured by JotForm can be found in their own privacy policy, which is available here: https://www.jotform.com/privacy/

Once the application process closes, the data will be removed from JotForm and transferred to network storage systems owned and operated by the MRC-CBU. These systems are hosted in our own secure server rooms located within Cambridge.

Your application data will only be accessible by the members of the panel who are evaluating applications, the MRC-CBU HR department, and the MRC-CBU IT department. Your data will be used solely for the purpose of evaluating applications for the Masters and/or Internship projects, and no other members of staff at the MRC CBU will have access to your data.

Data will be kept for [12 months] after which time it will be deleted from our systems. After this it will persist in system snapshots and backups for another 6 months.

Data from individual application forms may also be aggregated to allow the MRC-CBU to monitor and analyse application patterns. This aggregated data may be kept indefinitely, but it will not be possible to identify individual applicants from this aggregated data.

Except as described above, or as permitted in extreme circumstances by law, your data will not be disclosed to any other individuals or organisations.
